ROLES & RESPONSIBILITIES

Contract & Payment Management

  • Interpret and implement sales contract terms, ensuring payment schedules and release dates are executed accurately.
  • Produce and manage invoices for deposits and final payments.
  • Reconcile balances monthly and audit payments.

Reservations & Rooming Coordination

  • Manage reservations from initial inquiry to final touchpoint across multiple businesses.
  • Manage inventory for group bookings across multiple businesses.
  • Enter rooming lists and ensure updates are actioned promptly.
  • Process FIT reservations.
  • Ensure meal requests are reflected across systems.

Communication

  • Maintain communication with partners once contracts are countersigned.
  • Serve as a key point of contact between internal and external stakeholders.

Team Collaboration & Support

  • Partner on-site location teams to support daily operations.
  • Create and foster an environment that is collaborative, service-focused, and fun.

REQUIRED SKILLS & QUALIFICATIONS

What You’ll Bring

  • Proven ability to organize and prioritize multiple tasks in a fast-paced environment.
  • A strong sense of urgency and attention to detail—accuracy matters.
  • Excellent written and verbal communication skills – English, Secondary language is an asset.
  • Hospitality mindset with a service-first attitude toward clients and colleagues.
  • Sound judgment, adaptability, and a “can-do” attitude when things get unpredictable.
  • Experience working with geographically dispersed teams.
  • Resourcefulness, curiosity, and a drive to continuously improve processes.

Preferred Experience

  • Previous experience in hospitality, travel, or group reservations management.
  • Familiarity with hotel or attraction reservation systems.
  • Experience interpreting and executing the terms of sales contracts
  • Proficiency with Microsoft Office products.
