The Maintenance Coordinator is responsible for managing the day-to-day operations of all maintenance and site safety activities at the Waterfront Training Centre (WTC), ensuring efficiency and compliance with safety standards.
Responsibilities
Inventory Coordination & Maintenance
- Complete Parts Inventory for all equipment and PPE on site.
- Order and maintain supplies required for day-to-day maintenance including equipment PMs and industry PPE.
- Order and maintain tools, equipment, and perishable supplies used for site/office maintenance.
- Manage the current list of all new tools while confirming authorization for tool purchase under $500.
Procurement and Purchasing
- Provides research and input into the financial sourcing aspects of contracts and calls for tender when information is not readily available
- Identify high impact cost reduction opportunities
- Leverage the organization’s buying power to optimize costs, access new suppliers, reduce lead times, and guarantee supply
- Develop and maintain relationships with existing and potential contractors and suppliers to the organization
- Purchase, rent general and specialized equipment and materials
- Assess requirements and develop specifications for equipment, materials and supplies to be purchased
- Invite tenders, consult with suppliers and review quotations
- Assist with determining or negotiating contract terms and conditions, award supplier contracts or recommend contract awards
- Establish logistics of delivery schedules, monitor progress and contact vendors and suppliers to resolve problems
Preventative Maintenance Software Program
- Review and update and maintain Preventative Maintenance Software Programs and Preventative Maintenance Plans, as required.
- Complete and document all preventative maintenance requests.
- Ensure all necessary functions and information is accurate and up to date in the Preventative Maintenance Software Management System, such as parts inventory, financials and budgeting.
- Familiar with all the vendors and resources to fill order while maintaining a contact list to pull resources when needed.
- Keep detailed records of Gear and Rigging in the online Preventative Maintenance Software Program system.
Equipment Maintenance & Service
- Complete, monitor, and track Preventative Maintenance Schedule.
- Plan services, recertifications, and inspections for all site equipment in alignment with OEM/manufacturer recommended intervals and requirements.
- Track and monitor machinery up/down time, and what equipment is needed for daily operation.
- Have daily discussion with Unionized Regular Work Force about planned maintenance on site, upcoming maintenance jobs and any updates associated.
- Promptly review and fill all pre use checklist or per use inspection paperwork and documentation.
- Track and review certifications, recertifications, inspections, and procurement for all necessary safety equipment and lockout devices.
Contractors
- Coordinate and accompany contractors on site as directed by the WTC operations manager or OPS supervisor for inspections, recertifications planned and unplanned maintenance.
- Ensure all third-party contractors and/or visitors receive orientation pertaining to their scope of work.
- Ensure all third-party contractors and/or visitors receive SWPs pertaining to their scope of work.
- Maintain storage of proper records regarding orientations for contractors, operators and work orders.
Budgets
- Create budgeting system for Preventative Maintenance on all machines in Preventative Maintenance Software.
- Create detailed pricing system for all parts and equipment required for maintenance.
- Maintain budgets revolved around Planning and Unplanned Maintenance, Servicing, and PMs.
- Monitor and maintain accurate records of budgets for parts day-to-day.
- Assists WTC Manager in Operating and Capital Budget forecasting and adherence.
Qualifications
- A post-secondary diploma, degree, trades certification, or equivalent training in industrial maintenance, operations management, mechanical/electrical trades, or a related field.
- 1+ years of Equipment Maintenance and Operations experience in a unionized, safety-driven work environment.
- Strong time management and organizational skills to successfully handle several competing priorities and a fast-paced work environment.
- Technically versed in Microsoft 365 (Word, Excel & PowerPoint).
- Outstanding interpersonal and communication abilities to interact with and gather information from diverse stakeholders.
- Excellent critical thinking, analytical and detail-oriented skills to gather and analyze pertinent equipment and inventory information and business requirements.
