Summary:
The Logistics Support Coordinator is responsible for coordinating order fulfillment, managing customer portals, overseeing import and export customs clearance activities, and monitoring logistics-related costs. Based out of the Markham, Ontario office, this role serves as the local logistics and supply chain resource, supporting Territory Sales Specialists, Accounts Receivable initiatives, and cross-functional collaboration with Sales, Supply Chain, Finance, and Global Headquarters. The ideal candidate brings strong customer service orientation, international trade knowledge, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:
- Coordinate order fulfillment activities for major customer accounts and manage customer portals (e.g., CTC, BRP), ensuring timely and accurate order processing.
- Monitor, verify, and analyze logistics-related costs, including freight, customs duties, brokerage fees, and repacking expenses to ensure cost accuracy and control.
- Deliver exceptional customer service by responding promptly to customer inquiries, processing purchase orders, resolving issues, and coordinating product releases for shipment.
- Support Territory Sales Specialists with promotional activities, customer programs, pricing adjustments, credits, and debit transactions.
- Assist Accounts Receivable initiatives by supporting collections activities, account reconciliations, and customer payment inquiries.
- Coordinate and oversee import and export customs clearance activities, including the preparation, review, and maintenance of export documentation and regulatory compliance requirements.
- Prepare and distribute monthly operational and business reports for the General Manager of Niterra Canada and Global Headquarters (GHQ), while responding to ad hoc reporting and information requests.
- Serve as the primary liaison with Canadian logistics providers (e.g., Purolator) to ensure efficient transportation, delivery performance, and issue resolution.
- Act as the local logistics and supply chain resource within the Markham office, facilitating alignment between Nippon Express operations, internal forecasting functions, and the Niterra Supply Chain team.
- Verify and reconcile GST tax information by retrieving and reviewing applicable records from the Canada Border Services Agency (CBSA).
- Maintain accurate records, documentation, and system data to support compliance, operational efficiency, and audit requirements.
- Collaborate with cross-functional teams, including Sales, Supply Chain, Logistics, Finance, and Global Headquarters, to support business objectives and continuous process improvement initiatives.
- Adhere to all company policies and procedures, including IATF, ISO, ISMS, TISAX, QMS, J-Sox, and Safety related policies.
Qualifications:
- High school diploma or equivalent required.
- Minimum 2 years of experience in customer service, order management, logistics, international trade, freight forwarding, or a related operational environment.
- Strong verbal and written communication skills with the ability to interact professionally with customers, vendors, carriers, and internal stakeholders.
- Strong attention to detail, analytical thinking, mathematical proficiency, organizational skills, and problem-solving abilities.
- Advanced proficiency in Google Workspace, Microsoft Office Suite (Excel including Pivot Tables, VLOOKUP/XLOOKUP, and data analysis functions), SAP, and customer portal systems.
- Able to communicate effectively via phone, email, virtual meetings, and in-person interactions.
- Working knowledge of international trade regulations, customs compliance requirements, Incoterms, freight documentation, and global shipping processes.
- Able to manage multiple priorities, work effectively in a fast-paced environment, and consistently meet tight deadlines.
- Strong customer service orientation with the ability to build and maintain positive business relationships.
- Able to work independently and collaboratively within cross-functional teams while maintaining a high level of accuracy and professionalism.
