Responsibilities

  • Edit, format, draft and revise agreements, letters, memos, reports, forms, labels and other printed material.
  • Maintain lawyers’ calendars, including coordinating travel arrangements and tracking deadlines.
  • Manage and coordinate client meetings, conference calls, and related events.
  • Provide general administrative assistance: respond to client inquiries, receive incoming mail, handle courier requests, and maintain client file lists.
  • Maintain an efficient document and file management system and keep systems up to date.
  • Prepare and submit expense reports and docket entries.
  • Open and close client/matter files.
  • Scan and/or convert documents to PDF.
  • Assist with billing support for a group of lawyers.
  • Perform related duties as assigned and assist others as required.

Qualifications

  • 2–3 years of experience in a Legal Assistant position, preferably with Business Law—Corporate or Commercial experience.
  • Diploma from a Legal Assistant, Law Clerk or Paralegal program is considered an asset.
  • Ability to prioritize, meet deadlines, and adapt to rapidly changing priorities.
  • Strong organizational skills and the ability to take initiative and work independently.
  • Excellent written and verbal communication skills in English; proficiency in French is an asset.
  • Proficiency with Windows and Microsoft 365 and document management systems.
  • Excellent attention to detail and proofreading skills.
  • Experience with styles and document formatting.
  • Excellent interpersonal skills and ability to communicate effectively with clients.
  • Ability to take initiative when appropriate.

Salary

Salary range: $48,000 – $59,300 (Ottawa). Salary will be discussed and negotiated during interview.
