Reporting to the Director, the Gallery Administrator is a critical, cross-departmental role, responsible for supporting a range of significant functions of the Management & Administration and Operations teams, including front desk coverage, hospitality, and visitor relations;

administrative tasks and invoicing; gallery and office tidiness; and coordination of supplies. This position is a full time, roll in person five days per week, and required

flexibility

for additional hours based on the needs of the Gallery.

Office

Responsibilities

– Responsible for providing daily administrative support

inclusive

of email management, phone management and office functions.

-Manage the scheduling of client viewings, installations, and appointments.

– Liaise with team, visitors, and clients courteously and efficiently.

-Assist with preparations of office documents.

-Receive all mail and distribute to relevant departments.

-Ensure that all office supplies are stocked and order when needed.

-Prepare and distribute documents as directed by the Director.

-Update and maintain all client-related information.

-Administer various gallery events, programs, and travels.

-Maintain office technology and provide minor fixes; coordinate IT solutions for all staff.

-Ensure the overall upkeep of the gallery and offices.

Accounting

Responsibilities

-Create invoices, monitor accounts receivable, and follow up regarding outstanding invoices.

-Assist in preparation and distribution of reports to Director.

-Other duties as assigned.

Skill

Requirements:

The ideal candidate will have a passion for art,

leadership

qualities, and outstanding

communication

abilities.

-Solid background in Office Administration.

Ability to

communicate effectively and professionally, both oral and written within all levels of organization.

Ability to

manage tight deadlines and use time efficiently.

Must be

able to work under pressure and achieve quality results; ability to handle multiple demands and competing priority and adapt to new ideas and constant changes.
