The Volunteer Coordinator will perform a multi-faceted, dynamic warehouse volunteer administrative and facilitation role, supporting the Manager of Volunteers in fulfilling the mission of the Ontario Distribution Center and The Salvation Army ‘Behind the Shield’ Volunteer Program. Operationally, this will be achieved through the execution of day-to-day warehouse volunteer management tasks.

KEY RESPONSIBILITIES:

Volunteer Administration:

In coordination with the Manager of Volunteers

Plays a supporting role with the Manager of Volunteers, coordinating delivery of all required volunteer administrative support services for The Salvation Army (TSA) Ontario Distribution Centre (ODC) ‘Behind the Shield’ Volunteer Program and as an assist to the Manager of Volunteers other duties where needed.
Performs daily tasks related to volunteer administration operations.
Provides information to volunteer inquires via phone and email primarily and provides a welcoming atmosphere for volunteers entering ODC.
Triages volunteer scenarios, specifically pre-screening process for new volunteers not in line with volunteer registration acceptance criteria.
Ensures all volunteer warehouse supplies inventory levels are maintained and re-orders are placed in a timely manner to outages.
Ensures effective and accurate management of inbound and outbound of volunteer emails from ONdistribution email and personal email.
Maintains accurate records of group volunteer opportunity planning.
Manages administration of the volunteer shifts in the MyImpact volunteer platform with case-by-case adjustments for corporate team requests.
Assists Manager of Volunteers with yearly strategic volunteer plans and Volunteer Appreciation event.
Provides onboarding to new volunteers; ensures volunteers receive, complete, and return required forms in a timely manner.
Maintains filing systems for volunteer documentation.
Provides orientation of the ODC Warehouse Health and Safety measures to volunteers and provides specific sorting activity orientation.
Provides documentation of completed volunteer hours to volunteers, upon request.
Seeks to continually improve the Volunteer Program process and policies, and volunteer activity and facilitation documentation, as needed.
Ensures ODC volunteer standards and policies are upheld.
Responsible for reporting any volunteer problems per policies and procedures.
Other duties as assigned by management.

Volunteer Warehouse Operations:

In coordination with the Manager of Volunteers

Prepares Volunteer Rooms with snacks, cleanliness, apron and glove supplies, volunteer orientation documentation.
Maintains a clean and organized environment for volunteers in the workplace, such as the volunteer rooms and production areas where volunteers perform activities.
Ensures effective and accurate management of volunteers.
Facilitates Volunteer Sorting and Bagging Activities and sometimes TSA ODC order fulfillment with the volunteers.
Ensures the smooth operation of the ODC volunteer functions.
Generates daily volunteer outbound reports for both Inventory Management and Manager of Volunteers.
Provides group volunteer outbound reports to group volunteer team and leader (following the shift).
Performs other duties as required.

Warehouse:

Perform shipping and receiving of goods using a forklift or other power equipment as certifications allow.
Pickup, sort, put-away, pack and ship.
Inspect goods received for quality / damage / expiry (Best Before) dates; document, rotate, and store stock appropriately to ensure maximum yield is achieved.
Fulfill TSA Ministry Unit requests for durable goods for delivery.
Accurately count and weigh product being delivered or shipped.
Assist with inventory reconciliation.
Use Warehouse Management System to record / facilitate warehouse operations.
Perform general cleaning and maintenance tasks of warehouse, yard and equipment as required.

WORKING CONDITIONS:

This is a full-time regular position based on 40 hours per week. Overtime will be required during the Christmas season. Able to adopt to a flexible work schedule during peaks and/or seasonal times.
Regular work hours are Monday to Friday, 6:30 a.m. to 3:00 p.m., and include an ½ hour unpaid meal break. Shifts may change during the Christmas season.
Work typically performed in an office and warehouse environment with exposure to monotony of work (repetitive tasks).
May on occasion be required to move/lift/transport material of more than 39 pounds, but regular weights would normally fall under 39 pounds.
Responsible for working in compliance with the Ontario Occupational Health & Safety Act (OHSA) and regulations.
Comply with warehouse safety and security.
Wear the appropriate safety, Personal Protective Equipment, and maintain a clean uniform.
Travel between various work locations for meetings or training as required. May occasionally be required to deliver or pick up small items to and from local vendors, donors, and/or clients.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:
Completion of High School.
Completed two (2) years of a post-secondary: Office Administration
Completed a post-secondary in Warehousing, Supply Chain Management, Inventory Control and Materials Management would be considered an asset. Past work experience may be considered.
A bachelor’s degree is an advantage.

EXPERIENCE AND KNOWLEDGE:

Minimum of 2 years of prior related experience, including volunteer management, some supervisory experience, and proven track record of communicating clearly both orally and in writing.
Valid Ontario Class “G” Driver’s License and a current copy of a Driver’s abstract for review and verification that is satisfactory to The Salvation Army and ODC, in its sole discretion, is required.
Experience with Volunteer Coordination and Management platform software, such as MyImpact, is an asset.
Experience with Inventory Management software, such as Fishbowl, is an asset.

Be a ”Peopl Person” or “Happiness Agent” an ideal role for someone who is very extroverted as they will be giving facility tours and safety presentations.
Must be comfortable speaking in front of groups of people from kids to C-level executives.
Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
