The Communications and Marketing departments require a Full Time Administrative Assistant to provide administrative support to the Communications and Marketing departments.

Reporting to the Manager of Communications and Manager of Marketing, the Administrative Assistant will be responsible for providing professional, confidential, administrative support. The position is required to liaise with all levels of the organization and various public stakeholders.

KEY JOB RESPONSIBILITIES

Provide administrative support to the Communications and Marketing Departments and other Bethesda departments, as required
Collaborate within the Communications and Marketing Departments, Bethesda and other external stakeholders in relation to various community related events
Participate in the development and distribution of various advertising and marketing materials through various methods of communication
Create and/or proof various presentations and advertising materials using an appropriate communication program
Conduct and report on various research projects
Provide assistance with the coordination and operation of various departmental, organizational and stakeholder meetings
Ensure all internal communications meet specific standards and ensure distribution is appropriate based on directions and content
Process various internal administrative processes as assigned
Provide administrative support related to the day to day scheduling within the Communications and Marketing Departments
Ensure all internal and external facing staff contact information remains up to date and easily accessible, as appropriate
Ensure the timely and accurate processing of all Bethesda Home Foundation Inc. (BFI) donations
Accurately process all organizational Serious Occurrence reports based on Ministry of Children, Community & Social Services (MCCSS) and internal policy requirements
Ensure appropriate and accurate departmental filing is maintained in accordance with internal Bethesda policy and all legal requirements
Prepare, review and ensure all departmental reports meet organizational standards and distribute as directed
Ensure all signage is appropriate, including any and all French language requirements, within internal Bethesda policy
Front desk reception and directing of phone enquiries

QUALIFICATIONS

College Diploma in Office Administration is preferred
Extremely knowledgeable in Microsoft Office applications: Word, PowerPoint, Excel, Publisher, and Outlook
Two to three years’ experience in an Administrative Assistant role performing various administrative tasks including reception, providing customer services and data entry into various computer systems
Demonstrated knowledge of various publishing and graphic design programs
Experience in editing newsletters, articles and developing layout is required
Superior written and verbal communication skills as well as superior interpersonal skills.
Strong project management skills with demonstrated ability to multi task and set priorities within tight timelines.
Knowledge and understanding of office operations is required
