Job Summary
We are seeking a professional and organized Front Desk Representative to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, managing front desk operations with efficiency and a friendly demeanor. This role requires excellent communication skills, strong organizational abilities, and proficiency in various office software. The Front Desk Representative will handle administrative tasks, support customer service efforts, and ensure smooth daily operations within our office environment.

Responsibilities

  • Greet visitors and clients promptly and professionally, providing exceptional customer service
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
  • Maintain organized filing systems, both electronic and paper-based
  • Schedule appointments and coordinate meetings as needed
  • Handle administrative duties such as filing, proofreading documents, and managing correspondence
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support medical or dental office operations if applicable, including patient check-in/check-out procedures
  • Ensure the front desk area remains tidy and welcoming at all times
  • Provide support for administrative projects to improve office efficiency

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer skills with experience in data entry and clerical tasks
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Excellent phone etiquette and customer service skills
  • Ability to manage multi-line phone systems effectively
  • Strong organizational skills with attention to detail in filing and proofreading documents
  • Previous front desk or administrative experience preferred, especially in medical or dental offices
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Good typing speed and accuracy for data entry tasks
  • Knowledge of office procedures including filing systems and customer support protocols
