Position Description

ACASS is a leading provider of international private aviation services, and we are looking for an efficient and experienced Executive Assistant to join our team. In this position, you will work closely with our Chairman and provide him with comprehensive support to enable him to be focused, proactive, and efficient. Some of your responsibilities include managing his schedule, coordinating and attending meetings, making travel arrangements, conducting research, answering correspondence, and performing other administrative tasks.

Key Responsibilities

Be a gatekeeper and the first point of contact for communications and correspondence, triaging tasks in order of priority.

Manage the Chairman’s calendar and commitments to ensure he stays on track with his schedule.

Coordinate travel arrangements, including flights, accommodations, ground transport, travel visas, etc.

Track renewals and prepare applications for important documents (e.g., Passport, NEXUS, etc.)

Prepare agendas, attend meetings, take minutes, and follow up on any actions arising from those meetings.

Maintain an organized and up-to-date electronic filing system of all important documentation.

Perform other administrative tasks such as preparing reports, making reservations, tracking assets and expenses, booking appointments, etc.

Support the planning and organization of events/parties.

Coordinate with other staff for events, errands, necessary deliveries, etc.

Excellent time management and organizational skills.

Ability to maintain a calm demeanor in high-stress situations and changing priorities.

Strong communication and interpersonal skills with the ability to speak effectively among executives and team members at different levels.

Goal-orientated with superior planning skills.

Ability to read and interpret various documents.

Ability to problem solve and follow through on a variety of tasks.

Requirements

Minimum 4 years of relevant experience working as an Executive/Personal Assistant for a high-level executive in a corporate setting is required.

Minimum ACS/AEC of college studies. Certification in office administration is considered an asset.

Excellent communication skills, written and verbal, in English and French is required.

Strong computer literacy, proficiency with Microsoft Office Suite software, and excellent keyboarding skills.

Prior experience in event planning and/or project coordination is an asset.

Valid Quebec driver’s license and a car.
