📌 What You’ll Do

OVERALL RESPONSIBILITIES

The Executive Assistant (EA) & Canada Business Unit (BU) Coordinator provides high-impact operational support to the Canadian BU by planning major events, owning our BU onboarding program, drives our BU communications, and executes special projects. In addition, the role also assists 2 executives with EA duties like calendar planning and travel support.

This role is central to enabling leadership effectiveness, strong communications, and high engagement and requires exceptional judgment, discretion, communication, and the ability to collaborate across people, levels, processes, and priorities.

While the role will work across a broad set of individuals and with the entire Canada Leadership Team, it reports to the Managing Director for our Canada BU.

Here’s what you can expect in your role:

SPECIFIC KEY RESPONSIBILITIES & DUTIES

Executive Support for Managing Director, Canada and SVP, Global People & Culture

  • Proactively manage 2 active executive calendars to optimize time and priorities
  • Plan executive travel and process and track expense reports, ensuring accuracy and compliance with policy
  • Prepare agendas, briefing notes, and associated materials for Canada leadership meetings
  • Maintain strict confidentiality when handling sensitive administrative information
  • Build strong, trust-based relationships with BU leaders and key internal stakeholders

Onboarding Design & Ownership

  • Design, own, and continuously maintain the Canada onboarding plan for new hires
  • Ensure a dynamic and updated onboarding kit for managers and new associates
  • Coordinate onboarding schedules, materials, and key touchpoints across leaders and functions
  • Ensure new employees have a consistent, engaging, and well-organized onboarding experience
  • Partner with People & Culture, IT, and leaders to continuously improve onboarding effectiveness

Canada Business Unit Messaging & Leadership Communications

  • Own preparation and coordination of Canada Town Halls and other major leadership communications
  • Partner with senior leaders to develop agendas, key messages, talking points, and presentations
  • Coordinate logistics (scheduling, materials, technology, follow-ups)
  • Capture and track action items and ensure follow-through post–Town Hall

Canada Business Unit Event Planning

  • Lead planning and execution of BU meetings, offsites, engagement events, and team activities
  • Manage event logistics, travel arrangements, vendor coordination, and budgets
  • Help to develop agendas, manage logistics, document outcomes, and track actions
  • Act as a connector between Sales, Marketing, Finance, People & Culture, and Operations
  • Maintain master calendars, leadership documentation, and meeting archives
  • Support morale-building, wellness, and community initiatives, as requested

Canada Engagement & Culture Coordination

  • Coordinate the Canada Leadership Team to ensure the creation of a cross functional Engagement Plan, rooted in data from our annual Culture Survey
  • Project manage the workstreams and execution that result from the Engagement Plan
  • Ensure a quarterly check-in with the Canada Leadership Team on progress and course correct as necessary

Office Administration – Mississauga Office

  • Ensure our Mississauga office (~20-person office) is a nice place to work and high functioning
  • Oversee Mississauga office operations, including vendors, supplies, and health & safety requirements

Special Projects & Operational Excellence

  • Lead and support special projects on behalf of executive leadership, as required
  • Design simple project plans, track progress, and communicate updates and risks
  • Organize and maintain Microsoft Teams folders, templates, and distribution lists

What You Bring

Knowledge, Skills & Abilities Requirements

  • Post-secondary education in Business, Administration, or a related discipline
  • 3+ years of experience in Coordination role or acting as an Executive Assistant
  • Proven experience supporting senior leaders in a complex, fast-paced organization
  • Exceptional organizational, communication, and judgment skills
  • High degree of discretion, integrity, and professionalism
  • Advanced proficiency in Microsoft Office, Teams, and meeting technologies
  • Passion for team building, forging connections and fostering firm culture.

Jamieson Wellness Inc. offers a competitive total rewards package that goes beyond base pay, including eligibility for our Short-Term Incentive Program and a variety of benefits to support your well-being and professional growth.

For this role, the posting range is “$54,200 – $81,300”, which reflects the full salary range of the position. The actual salary offered will be determined based on factors such as relevant experience, level of education, and other professional qualifications aligned with the requirements and complexity of this position.
