Full job description

We are seeking a highly organized and detail-oriented professional to join our team as an Executive Assistant & Office Administrator. This full-time, permanent position offers a hybrid work arrangement, with a mix of in-office and remote work based out of Toronto, Canada.

Your key job responsibilities:

Executive Support

Manage calendars, appointments, and inbox organization for executives.

Arrange and coordinate travel bookings for executives and employees, ensuring seamless logistics.

Handle confidential information with utmost discretion and professionalism.

Assist in preparing presentations, reports, and materials for executive-level meetings and events.

Act as a liaison between executives and other departments, facilitating efficient communication and timely responses.

Manage incoming requests, prioritize tasks, and ensure timely completion of action items for the executive team.

Conduct research, compile data, and prepare reports on internal initiatives.

Maintain accurate and up-to-date files and documentation for easy accessibility.

Office Administration

Oversee day-to-day administrative tasks, including expense management, vendor coordination, and internal communications.

Maintain a well-stocked and functional workspace.

Support internal events planning and social committee initiatives.

Send out routine internal communications.

Event Coordination and Support

Manage the boardroom calendar and coordinate logistics and catering for internal and client-facing events.

Support employee recognition initiatives.

Other duties as assigned.

Must Have Skills and Qualifications

Minimum 2 years of experience as an Executive Assistant or Office Administrator.

High school diploma or equivalent education.

Eligible to work in Canada.

Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.

Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of staff.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently and take initiative.

Strong attention to detail and accuracy.

Discretion and ability to maintain confidentiality.

Nice to haves

Demonstrated Project Management Skills

Experience and capability to assist in organizing events or company gatherings.

Experience in providing basic HR support to staff.

Experience in managing basic occupational safety tasks.
