The Opportunity

The Executive Assistant provides high-level administrative and operational support to a Managing Partner, enabling efficient management of client relationships, investment activities, and internal team leadership. This role is critical in optimizing the Managing Partner’s time, ensuring seamless coordination of client deliverables, and maintaining a high standard of client service.

Key Responsibilities

Calendar & Time Management

Proactively manage a complex calendar, prioritizing client meetings, internal deliverables, and strategic initiatives

Coordinate and schedule meetings with client families, advisors, and internal stakeholders across multiple time zones

Ensure adequate preparation time by aligning meeting schedules with deliverables and deadlines

Anticipate scheduling conflicts and resolve proactively

Meeting Coordination

Coordinate all logistics for clients, prospective investment partners, and other key stakeholder meetings (scheduling, agendas, materials, virtual/in-person setup)

Prepare and distribute meeting materials in collaboration with the investment and consulting teams

Track follow-ups and action items to ensure timely completion

Maintain a high-touch, professional experience for potential investment partners and client families

Administrative & Operational Support

Assist in the preparation, formatting, and review of investor and client-facing materials (presentations, reports, Investment Policy Statements)

Support documentation management and ensure accuracy and version control

Coordinate workflows between the Managing Partner, Investment Team, Client Service, and Operations teams

Track key deadlines related to reporting, investment execution, and client deliverables

Communication & Coordination

Act as a point of contact for internal coordination and select external communications

Liaise with client families’ advisors and partners for scheduling and information gathering

Ensure timely responses and follow-ups on behalf of the Managing Partner

Team & Project Support

Support the Managing Partner in managing team deliverables and timelines

Assist with scheduling team meetings, performance review cycles, and internal check-ins

Help track progress on key initiatives, including process improvements and business development activities

Process & Efficiency Improvements

Identify opportunities to improve scheduling, workflows, and administrative processes

Help implement systems and tools to enhance efficiency and organization

Contribute to maintaining consistent, high-quality operational standards

Qualifications

Prior experience in an executive assistant, administrative, or operations support role

Experience supporting senior executives or leadership teams is considered an asset

Minimum of postsecondary diploma in business, office administration, or a related discipline preferred.

Strong organizational, coordination, and communication skills

Ability to manage multiple priorities with a high degree of professionalism and discretion

Proficiency in Microsoft Office Suite and virtual collaboration tools

Experience in financial services or professional services environments is considered an asset
