Key Responsibilities

Responsible for the day-to-day activities of the QSP and IDEAA offices including meeting and event coordination, minute taking, material preparation and collation and assisting with work flow and follow up. Support for the bioethics forum including agenda and minutes, and other administrative duties to support the senior bioethicist Provides direct support to the Director of QSP, including calendar management, scheduling meetings with internal and external stakeholders, prioritizing and distributing correspondence, preparing documents and reports and maintaining related files Administers the QSP and IDEAA payroll Processes invoices for payments, and processes purchase orders such as those related to the ordering of books, manuals, training materials, booking conferences for department staff as well as maintaining department office supplies and equipment for QSP, IDEAA and the senior bioethicist Assists in organizing, planning and completing special projects as assigned including administrative support related to Accreditation Canada preparation Provides administrative support related to policy management, and updating of intranet pages for the included programs Acts as an active member and administrative support for several committees within the hospital including Bioethics forum and the IDEAA Taskforce where minute taking, scheduling, agenda development are needed.

Performs other duties as assigned Qualifications Minimum of 5 years executive assistant experience in a healthcare environment preferred Graduate of a college program or equivalent

Able to

work independently as well as possess a strong sense of ‘team’ approach A well cultivated critical thinker who:

project coordination

skills Strong organizational skills and event planning experience High level of

Significantly skilled with MS Office Products:

Teams, Excel, Word Power Point and Outlook able to:

Generate Excel spreadsheets with advanced formatting and filtering options. Knowledge of advanced macros an asset Create Word documents with advanced formatting and layouts. Produce

impactful

customized PowerPoint presentations Use enhanced MS Outlook calendar management options

Able to

coordinate and manage virtual and in-person meetings when required

Ability to

use and trouble-shoot with audiovisual equipment Special consideration will be given to applicants that possess;
