The Opportunity
We're looking for an exceptional Executive Assistant to become a key part of our team.
This is not a traditional administrative role. We're looking for someone who enjoys taking ownership, staying one step ahead, and ensuring that details never fall through the cracks.
You'll work directly with leadership and support multiple areas of the business including operations, purchasing, inventory, vendor management, administration, and day-to-day coordination.
The ideal candidate is highly organized, resourceful, confident communicating with suppliers and vendors, and naturally takes initiative when they see something that needs attention.
What You'll Be Responsible ForOperations & Coordination
- Manage and track invoices, purchase orders, and operational documentation
- Coordinate orders for products, packaging, office supplies, and materials
- Monitor inventory levels and proactively coordinate replenishment
- Follow up with vendors, suppliers, couriers, and service providers
- Ensure important tasks, deadlines, and follow-ups are completed on time
Executive Support
- Help leadership stay organized and on track with key priorities
- Prepare reports, spreadsheets, and operational summaries
- Coordinate information across departments and ensure smooth communication
- Manage administrative projects and special initiatives as needed
Vendor & Supplier Relations
- Communicate professionally with suppliers and partners by phone and email
- Negotiate pricing, timelines, and order details when appropriate
- Resolve issues proactively and professionally
- Build strong relationships with vendors and service providers
Organization & Process Management
- Maintain accurate records and organized documentation
- Improve and streamline administrative processes where possible
- Keep shared files, systems, and information up to date
- Identify inefficiencies and recommend improvements
What We're Looking For
- 3+ years of experience in administration, operations, office management, executive support, or a similar role
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Confidence speaking with suppliers, vendors, and external partners
- Strong problem-solving abilities and sound judgment
- Ability to manage multiple priorities without losing track of details
- Proficiency with Google Workspace, Microsoft Office, spreadsheets, and business software
- Self-starter who takes initiative rather than waiting for direction
Bonus Points For
- Experience supporting company leadership or executives
- Purchasing, inventory, logistics, or supply chain experience
- Experience in construction, manufacturing, building materials, or e-commerce
- Experience using Monday.com, HubSpot, Shopify, or Google Workspace
