Job Description

The Executive Assistant works closely and proactively with their assigned team providing day-to-day administrative support, including coordinating meetings, travel arrangements and expenses.

Role-specific Accountabilities

Provide general administrative support to a team of professionals, including the Chief Sustainability Officer and a GLT-MD.

Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.

Manage multiple calendars on behalf of executives, working with other departments to coordinate meeting booking.

Co-ordinate, arrange and oversee team event planning process, as required.

Co-ordinate meetings, including conference room management and catering services for the team.

Ensure team members are prepared for all meetings with material they require and other general support.

Manage the calendar, reporting, appointments, presentations, action items and other administrative needs of the team and coordinate with advisors, partners and other third parties to set up meetings.

Reconcile expense receipts, credit card statements and expense reporting.

Handle highly sensitive and confidential matters relating to the daily activity of the group and/or organization.

Managing the onboarding and offboarding of staff (including changes and leaves of absence).

Manage administrative matters including vendor invoice management, execution of contracts with vendors and maintaining records thereof.

Work cross functionally with other regional teams and departments to ensure we remain aligned with our vision, goals, and values.

Accommodate and complete staff requests within the deadlines / on a timely basis.
