What you’ll do
We’re looking for an Event Coordinator to work cross-functionally with internal teams, to help advance strategic priorities and deepen relationships within the donor and hospitality community. Reporting to the Senior Event Manager, this role partners closely with the philanthropy team to deliver exceptional donor experiences that inspire connection, demonstrate impact, and elevate engagement across all giving segments.
As Event Coordinator, you’ll collaborate to define donor objectives, design meaningful experiences, and execute high-quality fundraising, stewardship, and cultivation events.
More specifically, you will:
Deliver exceptional cultivation, stewardship and recognition events that align with philanthropic strategies and objectives, foster authentic connection, deepen donor relationships and bring our mission to life
Create thoughtful and memorable moments for donors that are rooted in impact, anticipate their unique needs, and leave a lasting emotional impact
Align all event elements – including program design, flow and guest touchpoints – to support donor acquisition, retention, engagement and stewardship objectives
Develop and maintain internal planning documents, including Asana project boards, production schedules, run of show, and communicate needs to collaborative team members to ensure clarity, alignment and excellence in delivery and execution
Lead on-site execution and communication, engage in real-time problem-solving, ensuring each event is polished, welcoming and thoughtfully curated
Track budgets and expenses to maximize efficiency and fundraising results.
Source and manage vendors, including in-kind partners, with a focus on quality and creativity, ensuring partners contribute to an elevated guest experience
Coordinate vendor logistics and event-day delivery.
Design and deliver a positive, well-supported volunteer experience by overseeing the recruitment, scheduling and training of volunteers for pre-event and on-event activities
Ensure volunteers are equipped with information to act as warm, informed, effective ambassadors who contribute meaningfully to the overall guest experience
Partner with internal teams and giving segments—especially Major and Principal Giving—to ensure events are strategically leveraged to advance donor relationships and campaign priorities.
Provide flexible support across event initiatives as needed, contributing to a collaborative, high-performing events team
Coordinate and support events independently as required and perform other event-related tasks as directed by leadership.

Above all, you are innovative, thoughtful, and continuously seek ways to elevate the experience and create a lasting impression for donors, guests and attendees.
Additionally, you bring:
A university degree or diploma in marketing, sales, events, or business administration.
Minimum three years of related experience in special events planning; ideally working with a volunteer event organizing committee.
Proficiency using Microsoft Office applications (Word, Excel, Outlook and PowerPoint), RENXT or Raiser’s Edge fundraising software.
Proficiency in Asana, Social Tables, or Marq is an asset.
Experience in a not-for-profit environment is an asset.
