About The Position

This is a temporary full time Appendix D position, replacing a bargaining unit employee, working 35 hours per week at an hourly rate of $37.34 – this position will start as soon as possible and end January 21, 2028.

Reporting to the Associate Registrar, Enrolment Services & Student Support – the Enrolment Services Professional (ESP) is the primary point of contact for students, faculty, community agencies, and the public for all Enrolment Services functions across the student life cycle. The role supports access to post-secondary education and promotes student success from admission through to graduation by providing timely, accurate, and student-centered service.

The ESP provides specialized support on complex admissions, registration, student records, graduation audits, and financial aid matters. Responsibilities include assessing applicant qualifications; making admissions decisions in accordance with institutional policies and Ministry requirements; supporting and administering the registration process; and maintaining accurate Student Information System (SIS) records from admission through to graduation. The role also conducts and explains graduation audits and liaises with internal departments to resolve complex student issues.

In addition, the ESP supports institutional accountability by preparing and maintaining data for Ministry reporting, funding eligibility, and audits. The incumbent provides in-depth advising on financial assistance to students, parents/partners, and third parties (including MCURES, Second Career providers, and sponsors), and guides students in accessing financial aid resources to support their academic and career goals.

Specific Accountabilities

Admissions, Registration, Payments, and Graduation Audits

  • Applies Ministry and Lambton College admission policies and procedures to process post-secondary applications, including the assessment of transcripts and credentials to determine admission eligibility and likelihood of student success. Makes informed admissions decisions through investigation, applicant follow-up, and consultation with Deans and Program Coordinators where requirements are unclear.
  • Provides, compiles, and verifies student information across admissions, registration, fees, and graduation audits, ensuring accuracy, data integrity, and compliance with academic policies and Ministry requirements. Supports and administers the registration process, including enrolment changes and issue resolution, and verifies fees and payments.
  • Serves as the primary contact for students to resolve complex issues related to admissions, registration, academic progression, records, fees, and graduation. Assesses student academic progress term-to-term, provides guidance on alternate pathways, and works collaboratively with faculty, Counselling, Academic Schools, and Service Departments to support student success.
  • Handles student enrolment and Ministry audit records, ensuring accurate data and compliance for OSAP, Second Career, MCURES, sponsorships, and transfer credits. Maintains system integrity by investigating software issues and collaborating with IT to resolve discrepancies.
  • Contributes to the goals of the Office of the Registrar through continuous improvement of systems and processes and provides team support by assisting with workload coverage as required

Ontario Student Assistance Program (OSAP) and Financial Aid

  • Provides comprehensive guidance to prospective and current students through the financial aid application process, including OSAP and other funding programs. Advises students on loan responsibilities, approval or denial outcomes, repayment and assistance options, scholarships, and alternative funding sources to support retention and success.
  • Reviews students’ financial profiles to determine eligibility and develop appropriate funding plans in compliance with Ministry policies, regulations, and procedures. Ensures accurate and timely processing of financial aid, including OSAP appeals and reviews, and issues manager approved short term emergency loans to students in crisis.
  • Investigates individual cases through consultation with students, families, and external agencies (e.g., Ontario Works, ODSP, EI, Children’s Aid) to identify and address barriers to access and persistence. Maintains strict confidentiality when handling sensitive financial and personal information.
  • Demonstrates comprehensive expertise in all components of financial aid in Ministry policies, regulations, and procedures. Ensures all processing in relation to students’ financial aid are administered accurately and timely and in compliance with provincial guidelines.
  • Collaborates proactively with internal departments, faculty, and external partners to support student needs and improve operational outcomes.
  • Maintains current knowledge of provincial financial aid policies through ongoing training and professional development.

Registrarial Process Support & Other Duties As Assigned

  • Student communications – Responsible for the coordination of student communication processes to meet the objectives of the annual enrolment plan and the communication needs of academic and student service departments.
  • Fee maintenance/Cost codes – Initial set-up and testing of fee tables and cost codes on an annual basis.
  • Program maintenance – Responsible for program database maintenance; Annual creation of control courses and control course section registration; Maintenance of General Education Electives in the Colleague system
  • Enrolment and OSAP audit reporting support – Ensuring the integrity of key data sets associated with enrolment services and reporting; Preparation and maintenance of enrolment and audit files and audit processes.
  • Scheduling support – Support the Scheduling Coordinator during periods of absence with scheduling and room booking backup and Waitlist assistance during peak periods

Qualifications

Education:

  • 3 year diploma/degree or equivalent in Business Administration or Office Administration

Experience

  • Minimum of 3 years of practical work-related experience in a position that processes specialized information while interacting with customers, providing guidance and resolving problems, preferably in an educational environment.
  • Proficiency in operating a computer and related software packages including Microsoft Office (Word and Excel) and email.
  • Excellent customer service skills. Ability to use tact, diplomacy and judgement as needed. Effective business writing, communication and interpersonal skills.
  • Ability to work in a team environment, problem-solve, organize and prioritize duties, make decisions, work independently and possess effective conflict resolution skills.
  • The incumbent must also be familiar with academic programs and policies.
  • Experience working in an integrated, real-time data system, preferably a Student Information System. Must have experience and skills to define rules and logic within an information system that define a set of unique criteria for selecting records and/or performing certain processes, preferably within an educational environment.
