Windsor EMS, Inc. is seeking a highly organized, dependable, and motivated Maintenance & Supply Officer to join our Operations Team. This position is responsible for maintaining fleet readiness, managing EMS inventory and supply operations, overseeing an assistant, coordinating vehicle inspections and permits, performing basic vehicle maintenance, and supporting daily EMS operations.
The ideal candidate will be an EMT with strong organizational skills, mechanical aptitude, inventory management experience, and the ability to multitask in a fast-paced environment. This position also serves as a support role for field operations and may be required to staff an administrative ambulance during periods of high call volume or operational need.

Position Summary
The Maintenance & Supply Officer is responsible for ensuring fleet readiness, managing medical supply inventory, overseeing support personnel, coordinating inspections and permits, performing preventative maintenance, and ensuring all ambulances remain stocked, compliant, and operational.
This position requires strong communication skills, attention to detail, cost-conscious decision making, and the ability to manage multiple priorities simultaneously. The successful candidate will actively manage fleet maintenance costs by obtaining competitive quotes, evaluating vendors, and ensuring company resources are utilized in the most efficient and cost-effective manner possible while maintaining safety and operational readiness.
Essential Duties & ResponsibilitiesFleet Maintenance & Readiness
- Perform / Oversee basic preventative maintenance on company vehicles including:
- Oil changes
- Tire rotations
- Air filter replacement
- Wiper blade replacement
- Fluid checks and top-offs
- Conduct routine fleet inspections and identify maintenance concerns.
- Maintain fleet maintenance schedules and service records.
- Monitor vehicle deficiencies and ensure timely corrective action.
- Assist with annual city, county, state, and regulatory vehicle inspections.
- Coordinate preventative maintenance schedules and repairs.
- Prepare and distribute daily fleet readiness and maintenance reports to management.
Vendor Management & Cost Control
- Obtain and compare quotes for vehicle repairs, maintenance services, tires, parts, and fleet-related purchases.
- Evaluate vendors based on pricing, quality, turnaround time, warranty coverage, and reliability.
- Coordinate repairs with outside vendors and repair facilities.
- Review repair estimates and make recommendations to management.
- Negotiate pricing and service agreements when appropriate.
- Monitor vendor performance and maintain professional vendor relationships.
- Assist in reducing maintenance expenses through proactive planning and cost-effective purchasing decisions.
Fleet Vehicle & Asset Transportation
- Safely operate company fleet vehicles, including Ford F-350 trucks and trailers, for transportation and relocation of company assets, vehicles, supplies, and equipment.
- Assist with moving ambulances, support vehicles, generators, equipment, and operational assets between company locations.
- Ensure compliance with all applicable safety regulations and company policies while operating company vehicles and trailers.
EMS Supply & Inventory Management
- Manage inventory of medical supplies, equipment, medications, and consumable items.
- Process and fulfill supply requests from field personnel and supervisors.
- Order medical supplies from approved vendors and maintain appropriate inventory levels.
- Receive, inspect, organize, stock, and distribute incoming shipments.
- Monitor inventory usage and maintain accurate inventory records.
- Ensure ambulances and support vehicles remain stocked according to company standards.
- Monitor expiration dates and rotate inventory as necessary.
- Assist with annual inventory audits and accountability programs.
- Research products and vendors to ensure competitive pricing and quality.
Personnel Supervision
- Directly oversee and coordinate the work of an assigned assistant.
- Delegate daily assignments and ensure timely completion.
- Provide guidance, training, and support regarding fleet and supply operations.
- Monitor productivity and quality of work.
Operations Support
- Staff an administrative ambulance during periods of high call volume, disaster response, special events, or operational necessity.
- Assist Operations Management with special projects and assigned duties.
- Maintain professional communication with field personnel, vendors, customers, and management.
- Utilize Microsoft Office and company software systems for documentation, reporting, and inventory management.
- Maintain accurate records, reports, and operational documentation.
- Participate in company meetings and training programs as required.
- Perform other duties as assigned.
Minimum Qualifications
- Current Texas EMT Certification required.
- Current CPR Certification required.
- Valid Texas Driver’s License required.
- Clean driving record and ability to meet company insurability requirements.
- Basic knowledge of vehicle maintenance and fleet operations.
- Ability to safely perform oil changes, tire rotations, air filter replacements, and other preventative maintenance tasks.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Strong customer service and problem-solving skills.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to work independently with minimal supervision.
- Ability to lift, carry, and move EMS equipment and supplies weighing up to 75 pounds.
- Ability to work indoors and outdoors in varying weather conditions.
- Must obtain a Commercial Driver’s License (CDL) to drive company F-350 and trailer within six (6) months of hire. (Company Paid)
- Must be willing to respond to operational needs and support field operations when required.
Preferred Qualifications
- Current CDL Class A or Class B License.
- Experience towing trailers and transporting vehicles or equipment.
- Experience managing inventory and supply chain operations.
- Familiarity with ambulance fleet maintenance and regulatory inspections.
- Experience purchasing medical supplies and working with EMS vendors.
- Knowledge of EMS equipment, ambulance operations, and fleet compliance requirements.
