Position SummaryReporting to the Director, Utilities the Coordinator, Utilities Administration coordinates and performs a wide variety of administrative, office, and support activities for the Utilities department. This position serves as primary point of administrative contact for internal personnel and participates in the coordination and completion of ongoing projects and/or events.

This is a temporary 6-month position, with the possibility of extension. The position is based at our Fort Saskatchewan Plant Site.

Accountabilities

Generate and update department-specific reporting on a weekly/as requested basis.

Ensure department supplies, including IT equipment, are adequately organized, ordered, and delivered as per agreements with internal and external suppliers.

Lead the organization of department events, celebrations, and milestone presentation awards.

Review department files regularly to ensure compliance with document retention standards and maintain organized records.

Lead and manage the development and maintenance of the Utilities local SharePoint intranet site, including document control and periodic file refresh.

Coordinate document management of operating policies and procedures, forms, technical manuals, and other relevant materials.

Assist the Finance team with data entry and invoice validation during month-end and budgeting processes.

Verify invoicing for selected suppliers and contractors, including the coverall program, power, natural gas, and raw water.

Qualifications and Skills

A certificate and/or diploma in Business Administration from a post-secondary institution or similar certificate is preferred or 5+ years of administration experience.

Proficient in use of Microsoft programs including Outlook, Word, Excel, PowerPoint, EAM, and SharePoint.

Effective communication skills both verbal and written.

Strong organizational skills with ability to multitask.

Time management and problem-solving skills.

Ability to work independently with little supervision.
