Controller
As the Controller for a growing company with approximately $8 million in annual sales, you will serve as the financial anchor of the organization. This is a high-impact, "hands-on" leadership role where you will manage the full accounting cycle—from daily transaction entry to high-level financial strategy.
Reporting directly to the CEO/Ownership, you will ensure the integrity of our financial data, optimize cash flow, and maintain rigorous compliance across multiple state jurisdictions.
Core ResponsibilitiesFinancial Management & Reporting
● Initial Software & Process Evaluation: Review and assess the current QuickBooks accounting software and structure to evaluate and advise if it is sufficient for the company’s current accounting needs. If change is determined as a need, lead the procurement, set up and training on the new accounting software.
● Full-Cycle Accounting: Maintain the General Ledger (GL) using QuickBooks, ensuring all journal entries are processed accurately and the trial balance is reconciled monthly.
● Financial Statements: Prepare and issue monthly financial statements, including specific reporting requirements for company financial institution.
● Fixed Assets & Inventory: Maintain the fixed asset ledger and depreciation records; perform regular reconciliations of physical inventory to the GL.
● Tax & Audit Prep: Process year-end records and collaborate closely with external CPAs to facilitate timely tax return filings.
● Intercompany Oversight: Manage the GL for subsidiary companies and analyze intercompany clearing accounts to ensure balanced accountability across entities.
Accounts Receivable & Credit Management
● Billing Excellence: Match customer purchase orders to internal estimates and execute timely invoices.
● Credit Oversight: Analyze new customer credit applications, establish limits, and maintain the ageing report to minimize bad debt.
● Lien Processing: Manage the filing of liens and "perfect" lien documentation when necessary to secure company interests.
Accounts Payable & Cash Management
● Treasury Oversight: Reconcile all bank statements and manage fund transfers from the interest-bearing accountas required for operations.
● Cash Flow Forecasting: Project weekly and monthly cash requirements to ensure payables are settled within terms.
● Vouchering: Oversee the 3-way match process (Purchase Orders to receiving documents to vendor invoices).
Payroll & Compliance
● Multi-Cycle Payroll: Execute payroll on bi-weekly, semi-monthly, and monthly schedules, reconciling all entries back to the GL.
● Multi-State Tax Filings: File monthly sales tax returns for MN, WI, CO, SD, FL, etcetera as business expands. Ensure quarterly 941s and state-specific reports are submitted on time.
● HR Support: Maintain employee records and process salary adjustments and benefit changes.
● Insurance: Oversee and manage all company insurance needs.

Required Qualifications
Education
Bachelor’s degree in accounting or finance.
Software
Expert-level proficiency in QuickBooks (all modules) and MS Excel.
Knowledge
Deep understanding of GAAP and multi-state sales tax nexus.
Experience
3+ years of experience in a Controller or Senior Accountant role within an SME environment ($5M–$15M revenue range).
Attributes
High attention to detail, ability to work independently, and strong "perfecting" skills for legal/financial documentation.
Key Performance Indicators (KPIs)
● Reporting Timeliness: Financial statements delivered to the bank and ownership by the 10th of each month.
● DSO (Days Sales Outstanding): Maintaining AR aging within company targets through proactive credit management.
● Compliance: Zero missed or late filings for multi-state sales tax or federal payroll reports.
Note on Work Environment: In a company of this size, the Controller must be comfortable pivoting between strategic meetings and administrative tasks. You are the primary guardian of the company’s assets and the lead architect of its financial processes.
Bookkeeper/clerk to be hired by controller as workload grows as a direct report.
Pay: $80,000.00 – $120,000.00 per year
