Job Summary
The Construction Manager Assistant& Estimating (CMA) works under the direction of the Production Manager and provides administrative and operational support to the Project Managers across multiple production projects. The PMA assists in managing and coordinating various project-related administrative activities to help ensure smooth project execution.
A key component of the role is serving as a backup to the Project Manager when required. The PMA is also involved in the pre-contract phase of projects, where they assist in initiating the selection process and begin developing an understanding of the critical tasks and requirements associated with each project.
Responsibilities
Management and Coordination
- Serve as a backup to the Project Manager when required.
- Manage and coordinate the selection process with the client and Project Managers.
- Coordinate and track the Critical Task Checklist developed during the Contract phase and hand it off to the Project Managers and Purchasing Officer (e.g., truss orders, window and door orders).
- Conduct site visits to monitor production progress, scheduling, and other project-related matters.
Permits, Inspections, and Documentation
- Maintain all project-related documentation within HCL repositories, including OneDrive (under Office Teams) and Buildertrend (under Files).
- Prepare and maintain assigned project binders.
- Collaborate with Project Managers to set up draft project schedules in Buildertrend for newly contracted jobs.
- Review and maintain project schedules in Buildertrend on a weekly basis in coordination with Project Managers.
- Ensure project communications and documentation are captured and shared in Buildertrend, including weekly client updates.
- Coordinate project start-up and close-out administrative tasks.
- Submit, coordinate, and track permits and inspections. Provide inspection summaries and develop checklists to support Project Managers and the Quality Team in addressing any failed inspections.
- Administer project change orders, scope updates, plan revisions, and approvals for mechanical plans. Ensure change orders are processed in a timely manner and prompt Project Managers to follow up with clients for required approvals.
- Stay informed of overall project status and monitor client satisfaction.
Labour Planning
- Coordinate with the Production Manager to develop the weekly field crew labour plan with a two-week outlook.
- Update the labour board daily based on information from Buildertrend Time Clock and Project Managers.
- Manage and coordinate Site Services with the Production Manager, including bookings and service requests.
Finance Support
- Manage owner progressive billing and invoices (scheduling, releasing, and notifying the Finance Team) under the supervision of the Production Manager.
- Consolidate Allowance Adjustment reports by capturing differences and variances from the original scope and selections. Provide this information to Project Managers to assist in client presentations under the supervision of the Production Manager.
- Work in conjunction with the Production Manager and Finance Team to prepare financial reports related to construction projects to support financial decisions for specific jobs or the business.
Project Development Support
- Collaborate with the Project Development Team to ensure all technical standards and code requirements are validated for each project and scope of work prior to the estimating and contract phases.
Estimation
- Create and track change orders for ongoing projects with the assistance of Project Managers.
- Prepare and submit estimates for change orders, ensuring accuracy and profitability.
- Collaborate with Project Development on estimates for projects in the design phase.
Pay: From $23.00 per hour
