Heritage Air Services is seeking a detail-oriented and organized Commercial HVAC Parts & Estimating Coordinator to support our commercial service department. This position is responsible for sourcing parts, obtaining vendor pricing, preparing repair estimates, tracking material orders, and ensuring commercial repair projects move efficiently from diagnosis to completion.
The ideal candidate is highly organized, comfortable communicating with vendors and customers, and capable of managing multiple projects while maintaining accuracy and urgency.
Key Responsibilities
- Source commercial HVAC parts, equipment, and materials from vendors and suppliers.
- Obtain pricing, availability, and lead times for repair and replacement components.
- Prepare accurate commercial repair estimates based on technician recommendations.
- Review technician notes, photos, and recommendations to develop customer proposals.
- Coordinate with vendors to ensure timely ordering and delivery of parts.
- Track ordered materials and provide updates to service managers, technicians, and customers.
- Follow up on backordered or delayed parts and communicate expected arrival dates.
- Verify estimate accuracy, pricing, and labor calculations before submission.
- Update service software and maintain detailed job documentation.
- Support the commercial service team with administrative and operational tasks as needed.
Qualifications
- HVAC industry experience preferred.
- Experience sourcing HVAC parts, equipment, or construction materials strongly preferred.
- Ability to read and understand technician recommendations and equipment information.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office and computer-based service management software.
- Ability to prioritize multiple projects in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
Preferred Experience
- Commercial HVAC service experience.
- Parts procurement or purchasing experience.
- Estimating experience in HVAC, construction, mechanical contracting, or related trades.
- Experience with Housecall Pro or similar service management software.

Compensation

Pay: $25,000.00 – $30,000.00 per year
