Job Summary
Reporting to the Executive Director, the Administrative Assistant provides clerical support, handles reception duties for the Same Day Clinic and other OHC services, assists with greeting community members, assists with program setup, and performs other administrative duties as required.
This position will work closely with the Lead Clinic Administrator to ensure efficient operations across all clinical services provided by OHC. Given the sensitive nature of this work, maintaining the highest level of confidentiality and professionalism is essential.
The ideal candidate will bring:
- Experience in administration, specifically as a medical office assistant.
- Excellent interpersonal and communication skills.
- Proficient in various computer programs, including Microsoft Office (Outlook, Excel, Word), patient records/data entry.
- Comfort working with technology, including computers, e-fax, and phone systems.
- Ability to work in a fast-paced environment with multiple demands.
Responsibilities
- Greet patients and visitors professionally at the front desk.
- Manage phone systems to handle appointment scheduling, inquiries, and follow-ups.
- Maintain accurate electronic medical records.
- Assist with patient check-in and check-out processes.
- Schedule appointments and coordinate with healthcare providers.
- Handle administrative tasks including filing, data entry, and correspondence.
- Ensure compliance with PHIA and other confidentiality standards.
- Support billing processing as needed.
- Assist Lead Clinic Administrator in updating and creating reports.
- Assists with greeting community members, assists communtity memebers with basic inquiries, program setup, and other duties as assigned.
Experience
- Experience working in a medical office assistant position is an asset.
- Demonstrated experience with office administration, including multi-line phone systems and front desk duties.
- Strong organizational skills and the ability to multitask efficiently in a fast-paced environment.
- Previous experience working with electronic health records (EHR) systems is advantageous.
- Office experience involving administrative support, appointment scheduling, and patient communication is essential.
- Graduate of a recognized Medical Office Assistant program or business administration course is an asset.

Pay: $19.00-$21.00 per hour
Expected hours: 30 – 37.5 per week
