For our location in Mississauga, ON we are looking for a
Billing and Dispatch Coordinator
Salary Range: CAD 60,000 – CAD 65,000
Your tasks
- Schedule and Track Work: Plan and monitor service calls, deliveries, or routes to keep operations on time.
- Communicate with Customers and Staff: Update customers, drivers, and technicians; handle questions or schedule changes.
- Handle Billing: Create and review invoices based on completed jobs or deliveries.
- Enter and Maintain Records: Keep customer, billing, and dispatch information accurate in company systems.
- Check Paperwork: Make sure all job tickets, timesheets, and records are complete before billing.
- Track Job Progress: Watch job status and report any delays or issues to management or clients.
- Help with Accounting: Assist with payments, billing corrections, and account updates.
- Follow Rules and Report: Ensure all work follows company and legal guidelines; prepare basic reports as needed.
- Other duties as assigned.
Your profile
- 2–5+ years of experience in dispatching, billing, customer service, or administrative coordination roles
- Proven ability to schedule, track, and coordinate service calls, deliveries, or field operations in a fast-paced environment
- Strong customer service skills with the ability to communicate professionally with customers, drivers, and internal teams via phone and email
- Experience creating, reviewing, and processing invoices with a high level of accuracy and attention to detail
- Proficiency with ERP systems (e.g., SAP), CRM tools, and Microsoft Office (Excel, Word, Outlook)
- Demonstrated ability to manage multiple priorities, track job progress, and proactively resolve scheduling or service issues
- Solid understanding of billing processes, basic accounting support functions, and documentation requirements
- Detail-oriented with strong organizational skills; able to audit paperwork (job tickets, timesheets) for completeness and accuracy
- Ability to work independently while collaborating effectively across departments
- Strong problem-solving skills with a proactive, solutions-driven mindset
- High level of accountability and ability to meet deadlines in a dynamic, high-volume environment
- Knowledge of logistics, service operations, or field service coordination is an asset
- High school diploma required; post-secondary education in business, logistics, or a related field preferred
