***This is a process-driven position. Experience working in an office setting is preferred.***
We are seeking a detail-oriented and organized Automotive Accounting & Title Clerk to support dealership operations by accurately calculating commissions; preparing daily deposits; processing title and registration paperwork; and ensuring compliance with state and dealership requirements. This is a cross-trained position. The primary role is the calculation of commissions for each vehicle sold, while also helping with title processing and vehicle registrations on an as-available / as-needed basis.
This role plays an integral part in the post-sale process ensuring documentation is completed accurately and timely.
Key Responsibilities:
Deal Capping (primary role – 70% of time allocated to this task)
- Review all car buying transactions submitted by the sales team for accuracy and completeness.
- Enter and finalize commissions in the dealership management system (PBS system).
- Communicate with sales, finance, and management teams to resolve any discrepancies or missing documents.
Title & Registration (10% of time allocated to this task)
- Prepare and submit vehicle title and registration paperwork for new and used vehicles (retail, lease, and wholesale).
- Process out-of-state title and registration transactions as needed.
- Track the status of title paperwork and ensure timely submission to the DMV or relevant agencies.
- Ensure proper collection and remittance of taxes, fees, and lienholder information.
- Maintain accurate title logs and vehicle record files.
Daily deposits (10% of time allocated to this task)
- Prepare and submit the daily deposit.
- Basic accounting knowledge is required.
Vehicle Warranty Cancellations (5% of time allocated to this task)
- Process cancelations as requested.
- Computer skills required.
Administrative Support (5% of time allocated to this task)
- File and maintain deal jackets and customer records.
- Provide support during audits and internal reviews.
- Handle general administrative duties related to accounting or compliances, as assigned.
Requirements:
- Accounting skills / knowledge.
- Computer proficiency required, including Microsoft Office and web-based systems.
- Must be fluent in Microsoft Excel.
- Previous experience in automotive dealership back office, title processing, accounting support role, DMV regulations, proficient in dealership management software (e.g. Reynolds & Reynolds, CDK, Dealertrack), preferred. Dean Honda currently uses the PBS System.
- On site completion of the PennDOT Advanced Agent Services Training Course within 30 days of hire.
- Strong attention to detail, organizational skills, and ability to multitask.
- Excellent communication and follow-up skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent required; some college or business coursework is a plus.
Work schedule & Compensation:
- Full-time position; Monday through Thursday or Friday. Approximately 32 – 40 hours a week.
- Hourly, competitive pay based on experience; starting at $20 per hour.
