The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

Reports to: Vice President, Administration
Supervises: Clubs Administrator
Employee status: Hourly Exempt, Appointed
Length of term: May 4, 2026 – April 30, 2027
Hours per week: 20
Compensation: $21.00 per hour
Position Purpose
The Associate Vice-President, Administration is responsible for assisting the Vice-President Administration in all capacities, as well as managing relations and duties related to AMS Clubs, Student Resource Groups, and other similar groups and subsidiaries. Additionally, the Associate Vice-President, Administration is responsible for supervising the Clubs Administrator, and working with them on the administrative duties related to AMS Clubs. Furthermore, they sit on the Clubs and Societies Committee, which makes the day-to-day decisions regarding AMS subsidiaries.
The Associate Vice-President, Administration also coordinates with the Vice-President Administration on a variety of projects and initiatives that involve various aspects of the Executive portfolio. This includes work on capital projects, events, conflict management, building management, administration, and strategic planning.
Duties and Responsibilities
- Understand and update the Building Operations Committee Policy Manual
- Understand and update the Clubs and Societies Committee Policy Manual
- Understand and update relevant departmental policies
- Work with the Vice-President Administration on a variety of projects including booking resources, building renovations and policies, and external committee placements
- Sit on the Clubs and Societies Committee
- Attend the Building Operations Committee to record minutes and hold presentations as required
- Assist students wishing to constitute new clubs
- Supervise and work with the Clubs Administrator
- Attend weekly meetings and report on activities
- Spearhead organizing the September and January club showcase events
- Organize and manage club executive orientations and renewals
- Prepare transition report for successor
- Works with the AMS mission statement and values to operate a successful department
- Assist the Vice-President Administration as required
- Other duties as required
Qualifications and Experience
- Must be a currently registered student at UBC Vancouver or one of its affiliated colleges
- May not be an executive of an AMS club, constituency or resource group
- Strong organizational skills; detail-oriented
- Professional conduct and leadership skills
- Strong interpersonal and communication skills
- Comfortable working within an anti-oppression framework to create a positive space for everyone
- Enthusiastic, adaptable, open-minded, and eager to get involved
- Comfortable working independently
- Knowledge of AMS or previous involvement in clubs or other on-campus initiatives is preferred
- Leadership skills
