Position Summary

The Administrative Travel Specialist will provide administrative and travel support services to Naval Special Warfare Group EIGHT (NSWG-8), including support to NSWG-8 Headquarters, one Echelon III staff, and eight Echelon IV commands. This position supports geographically dispersed personnel and commands by managing Defense Travel System (DTS) actions, Temporary Assigned Duty (TAD) travel requests, travel vouchers, Government Travel Charge Card (GTCC) support, reporting, data management, and customer service functions. The role requires strong attention to detail, knowledge of DoD travel policies, and the ability to operate independently in a fast-paced, deadline-driven environment.

Key Responsibilities

  • Review, correct, and maintain travel documentation and data within the Defense Travel System (DTS).
  • Support Naval Special Warfare DTS daily deployment reporting, input, verification, and status updates.
  • Process TAD travel requests, no-cost orders, travel vouchers, and travel-related documentation for command personnel.
  • Assist military and DoD civilian personnel with travel payments, voucher preparation, and DTS administrative maintenance.
  • Analyze and audit travel reimbursement vouchers for completeness, accuracy, and compliance with the Joint Travel Regulations (JTR).
  • Screen and verify receipts and supporting documentation within DTS.
  • Coordinate with the Consolidated Travel Office (CTO) for CONUS and OCONUS travel arrangements.
  • Contact travelers to resolve missing, incorrect, or erroneous documentation required for payment processing.
  • Provide technical travel and DTS guidance to military personnel supporting deployments, exercises, and other official travel requirements.
  • Train travel personnel in DTS and travel-related procedures in a high-turnover environment.
  • Serve as a Non-DTS Entry Agent (NDEA).
  • Serve as an alternate Agency Program Coordinator (APC) supporting Government Travel Charge Card (GTCC) functions.
  • Assist APCs with GTCC account functions, balance monitoring, and administrative support.
  • Track, follow up, and file documentation supporting DD577 letters of appointment.
  • Review and route cross-organization requests for approval.
  • Monitor travel and GTCC balances for NSWG-8 senior leadership command.
  • Enter, retrieve, compile, and analyze data across multiple Government systems and databases.
  • Prepare clear, concise reports, correspondence, and documentation in prescribed military or Government formats.
  • Research transaction errors, customer issues, and process deficiencies, resolving problems or routing them to appropriate Government personnel.
  • Maintain compliance with applicable Federal, DoD, Navy, USSOCOM, and travel-related policies, regulations, instructions, and directives.

Required Qualifications

  • Minimum of four years of DoD travel processing experience within the past ten years.
  • Minimum of four years of experience using Microsoft Windows and Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and related programs, within the past ten years.
  • Experience using Federal Government systems and maintaining required access to those systems.
  • Knowledge of Federal travel regulations, DoD travel policies, DTS procedures, GTCC processes, and Joint Travel Regulations.
  • Ability to obtain and maintain required Government system access, including applicable NIPRNET and SIPRNET workstation access requirements.
  • Must possess a Secret security clearance at time of appointment.
  • Must possess a valid state driver’s license.
  • Must be able to obtain personal and vehicle access to military installations.

  • Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to enter, maintain, cross-reference, and verify data accurately across multiple systems.
  • Strong analytical skills with the ability to identify trends, deficiencies, accomplishments, transaction errors, and process issues.
  • Excellent written and verbal communication skills.
  • Ability to prepare correspondence and reports in military format when required.
  • Strong organizational skills and ability to coordinate complex scheduling and multi-step administrative processes.
  • Ability to work independently with minimal oversight.
  • Ability to manage multiple tasks in a fast-paced environment while meeting stringent deadlines.
  • High level of accuracy, attention to detail, professionalism, and customer service.
  • Ability to maintain professional conduct, proper dress, and grooming standards in a government work environment.

Performance Expectations

The Administrative Travel Specialist is expected to complete travel and administrative support tasks accurately and within established timelines. Performance will be measured based on timely task completion, customer service, and data accuracy, with the PWS identifying a 95% accuracy/on-time standard for administrative travel support and data management, and no more than two valid customer complaints per month.

Work Environment

This position is located in Pearl City, Hawaii and supports NSWG-8 administrative, logistical, and travel operations. Government-provided workspace, computers, telephones, printer/copier/fax access, and reasonable office supplies will be provided as required. The Administrative Travel Specialist must safeguard Government equipment, information, and property in accordance with applicable security requirements.

Pay: $90,000.00 – $100,000.00 per year
