Goh Ballet is seeking an Administrative Coordinator for its location in Vancouver, BC (Full-Time, Onsite).

Goh Ballet Academy, one of Canada’s pre-eminent ballet training institutions with an internationally recognized reputation for excellence, is seeking a full-time Administrative Coordinator for our Vancouver location.

Established in 1978 and now under the direction of Chan Hon Goh, former Principal Dancer of The National Ballet of Canada, we are dedicated to bringing exceptional dance experiences to the widest audience and supporting talent in realizing their full potential.

General Overview

We are looking for an Administrative Coordinator who can manage multiple responsibilities, support organizational systems, and assist in implementing strategies. This role provides essential administrative and operational support to the Academy.

Candidate Description

You are dynamic, organized, detail-oriented, and self-motivated. You have experience supporting executives, can work independently, and thrive in fast-paced environments. You are thoughtful, trustworthy, resilient, flexible, and ready to contribute meaningfully to Goh Ballet’s mission and operations.

  • Post-secondary degree in a related field (Business Administration, Arts Administration, Communications) or equivalent experience
  • 3+ years in a similar administrative or support role
  • Excellent verbal and written communication skills
  • Strong ability to prioritize, meet deadlines, and adapt in a fast-paced environment
  • Proficiency with Microsoft Office 365, G-Suite; Canva or Adobe Creative Suite is an asset
  • Creative, innovative problem-solving skills and initiative
  • Flexible, adaptable, detail-focused work style
  • Strong customer service mindset and professional presentation skills
  • Proven ability to manage conflicting deadlines
  • Interest in growing with Goh Ballet and taking on increasing responsibility
  • Experience in dance, ballet, or within the arts and culture industry considered an asset

Duties and Responsibilities

Project and Administrative Support

  • Provide full administrative services including communications, registrations, invoicing, word processing, travel arrangements, correspondence handling, and confidential filing
  • Draft letters and documents; conduct research and manage information flow
  • Support systems-building through strong organizational and time-management skills
  • Prepare budgets, reconcile finances, and track income and expenses
  • Assist with data entry, registrations, invoicing, and documentation
  • Contribute to annual recruitment and retention efforts, events, presentations, productions, and communications (e-blasts, monthly e-news)
  • Support the wardrobe department, bridging artistic and administrative needs
  • Manage special projects such as examination entries and cross-department coordination

Operations and Facilities Management

  • Oversee facility hygiene, safety, cleaning, maintenance, and asset tracking
  • Manage meeting preparation, room bookings, equipment setup, and refreshments
  • Assist with IT infrastructure including hardware, software, network, security, and troubleshooting
  • Maintain vendor relationships

Salary and Benefits

  • Salary: $50,000.00+ (dependent on experience)
  • Paid vacation, wellness package, sick days, and time-in-lieu
  • Start Date: Immediate
