Position Summary

The Administrative Assistant provides a variety of administrative support to the Human Resources team. Assists in the management of a variety of administrative databases and runs reports as requested including uploading documents accurately in the proper database. Assists with the coordination and implementation of HR training and events including maintaining the registration system, sending reminder to attendees, emailing training packages prior to the session, and booking venue, ordering food, and setting up the room. This position creates a process for regular file auditing to ensure all required documentation is provided. The Administrative Assistant assists with reference checks and onboarding of volunteers and students as required. Assists with the promotion and coordination of job fairs, gathering required materials and attending job fairs to register candidates as needed. Assists with data entry related to benefits, including employee information changes. Creates posters, social media postings, format presentations ensuring branding guidelines are met. Assists with the coordination and distribution of a variety of Human Resources communications such as but not limited to HR policies, training calendar, posters, etc.

Employment Guide

A diploma or degree in Business Administration, Office Administration or related program from a recognized university/college required.

3-5 years of experience providing administrative support is preferred.

Experience in the non-profit health care sector is beneficial.

Ability to organize, prioritize, meet tight deadlines, problem-solve, multi-task and work independently as well as part of a team are all essential skills for this position.

Must possess exceptional verbal and written communication skills with aptitude for detail, accuracy, clarity and editing.

Comfort with technology and cloud-based systems an asset.

Proven ability to use sound judgement and problem-solve effectively are necessary.

This position requires an individual with a high work ethic, integrity, ability to maintain confidentiality, and discretion.

High proficiency in Microsoft suite and data base management essential.

A valid driver’s license and reliable vehicle is required for this position.

Job Type:

Temporary, full-time (37.5 hours/week)
