About the Role
We are looking for a reliable and detail-oriented Administrative Assistant to support a busy financial planning office. This role is ideal for someone who enjoys working with people, staying organized, and keeping day-to-day operations running smoothly.
You’ll be the first point of contact for clients and play a key role in ensuring a professional and welcoming office environment.
What You’ll Be Doing
Front Desk & Client Support
- Greet clients and visitors in a friendly and professional manner
- Answer phone calls and respond to emails
- Schedule and confirm client appointments
- Prepare meeting rooms and materials for client meetings
Administrative Support
- Manage calendars and coordinate appointments
- Maintain organized digital and physical filing systems
- Handle incoming and outgoing mail and packages
- Keep office supplies stocked and organized
- Support general day-to-day office tasks
Client Communication
- Contact clients to schedule review meetings
- Send appointment reminders and follow-ups
- Assist with basic client onboarding and paperwork
- Update client information in internal systems
Basic Technology & Office Systems
- Use office software and CRM systems to track information
- Prepare simple documents and reports
- Assist with basic troubleshooting (printers, scheduling tools, etc.)
Confidentiality
- Handle sensitive client information with care and discretion
- Follow privacy and confidentiality guidelines at all times
Requirements
What We’re Looking For
- Previous experience in an administrative, receptionist, or office support role
- Strong organizational skills and attention to detail
- Friendly and professional communication style
- Comfortable using computers and learning new systems
- Ability to manage multiple tasks and stay organized
- Dependable and able to work independently
Nice to Have
- Experience in a professional office (financial services, insurance, medical, etc.)
- Familiarity with CRM systems (or willingness to learn)
- Customer service experience
