As the Administrative Assistant – Operations with our Purchasing Team, you’ll play a key role in proactively assisting in the preparation of documents and records to support the timely and accurate procurement of materials for projects, production, or the organization. This role provides administrative support for Operations. Administrative functions include computer data entry into various software systems such as SAP, FileMaker, telephone, E-mail, and the coordination and maintenance of various documents and programs. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced operations environment and takes pride in keeping information, documents, and priorities moving smoothly.
WHAT YOU WILL DO
- Update and maintain purchasing databases, software, and reports, including accurate SAP data entry, pricing updates, repair database entries, and open order reporting.
- Provide administrative support to the Purchasing team by preparing, photocopying, completing, and maintaining documents, spreadsheets, reports, and program materials.
- Assist with procurement activities, including creating purchase orders, researching suppliers, supporting inventory reordering, and managing package count purchasing.
- Receive goods in SAP from packing slips, review outstanding invoices and kickbacks, and report inventory discrepancies or issues in a timely manner.
- Maintain confidentiality, work safely, participate in required training, and perform other duties as assigned to support operational and purchasing needs.
- Performing other duties as allocated.

- Transformer knowledge is an asset.
- Ability to work at sustained pace and produce quality work.

- Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.
