Position Snapshot: Administrative Assistant
Job Type:Permanent Full-Time, In-person
Job Location:Burlington, Ontario
Work Schedule:8:00am-4:00pm EST, averaging 40 hours/week,
Monday-Friday
Compensation:$16.75 CAD/hour
The Big Picture: Customizing Organizational Efficiency and Operations
On a daily basis, you will be the first point of contact for our clients and staff at Insight Pest Solutions. Your energetic attitude, organizational, and strong problem solving skills will ensure that all solutions are met with efficiency and personalization. By assisting with day-to day operations across multiple job groups, you will showcase your adaptability and promote your knowledge of company policies and procedures.
Position Summary – Responsibilities:
Oversee and manage the Technician Hotline; fielding technician requests/questions and directing them appropriately
Monitor, track, and accept all deliveries
Provide access for technicians to collect product
Tracking and recording cheques and cash brought in by technicians; applying amount collected to client accounts
Assisting with day-to-day operations to ensure the office is running smoothly, such as depositing reports for all branch offices and handling bank deposits
Checking and organizing mail, twice a week
Scanning and sending documents to appropriate channels; filing paperwork for record-keeping purposes
Responding to Google reviews to ensure customer satisfaction and positive feedback; directing all 3-star reviews to the appropriate branch and customer service manager and tracking all 5-star reviews
Maintaining a clean and organized office environment
Completing customer checklists; verifying and uploading/updating client information
Monitor and track shipment paperwork received for any inventory
Booking technician exams, keeping track of exam dates, and updating start dates based on exam results
Monitoring and verifying technician hours and kilometres for Azuga
Releasing technician batches and invoicing customers for services completed
Qualifications/General Requirements:
Experience working in an office setting or an administrative background is considered an asset but not required, as training will be provided.
Self motivated individuals who are able to work with little supervision
Possesses excellent verbal and written communication skills
Empathetic and professional towards customers
Strong organizational skills and the ability to multitask
Possesses an eagerness to learn and work in a team setting
Bilingual oral and written communication is an asset but not required
First-Aid training and certification is an asset
Access to a personal laptop and/or computer
Access to a personal vehicle
