Pay rate is based on transferrable skills and employment history; to be determined by hiring manager; but no less than $17.

Position Overview: To provide services to ensure that customer billing is completed and submitted in an accurate and timely manner as well as provide administrative support for day-to-day business operations.

Job Summary:

  • This position is responsible for all current & future administrative tasks and duties as assigned.
  • Prepare & submit customer billing and invoices based on field paperwork process in office daily.
  • Communicate with all company personnel including supervisors, field techs, and drivers as needed.
  • Assist in prepare letters, proposals, price quotes & update price lists.
  • Submit for Master Service Agreements and customer contracts. Track progress of submittal(s) as required
  • Manage and update subcontractor insurance documents on file
  • Complete filing of all project documents.
  • Prepare and maintain tracking spreadsheets.
  • Update and maintain all company reference lists.
  • Assist in maintaining all third-party contractor management systems with safety records and all required information, i.e. ISNetworld, etc.
  • Track and maintain all records pertaining to hazardous, non-hazardous, and universal waste hauling, storage, and disposal.
  • Assist the Area Director, Environmental Services Manager, Operations Manager, Trucking Manager, and Office Manager as needed.
  • Always have the “Good of the Company” in mind when making all business decisions and maintain a high level of professionalism with employees, customers, vendors, suppliers, and the public at all times.
  • Make suggestions and recommendations to the Office Manager that may improve the well-being of the company, its clients, and employees.
  • Perform other duties as directed by the Office Manager.

Additional Requirements:

  • Excellent communications skills (verbal, phone, written, and listening)
  • Computer Skills including 3 or more years of experience using Microsoft Office Suite, emphasis on Excel
  • Administrative or clerical experience, 3 or more years (preferred)
  • Professional personality and demeanor
  • Ability to manage multiple projects simultaneously
  • Flexibility to adjust and make changes based on project priorities

Job Type: Full-time

Pay: $17.00 – $18.00 per hour
